Xero kept up to date by your other systems

We connect Xero to the systems where your sales happen, so invoices, contacts and payments arrive with the right tax rates and tracking.

Xero Integration: where you are, the work, and where it gets you.

In plain English.

Xero has a good API and a large app marketplace, so the first question is always whether an existing app does what you need. If one does, we will set it up and save you the cost of custom work. Where ready-made apps fall short, we build a direct connection using Xero's own API.

Typical jobs include pushing WooCommerce or Shopify orders into Xero as invoices, creating contacts from your CRM, raising repeat invoices from a booking system, and posting Stripe payouts with fees split out. We use Xero tracking categories to report by branch, channel or department, and handle zero-rated and exempt VAT lines properly.

Connections use Xero's OAuth 2.0 approval, so we never need your Xero password. You approve access from inside Xero and can disconnect it at any time from the Connected Apps screen. We also work within Xero's daily API limits, batching calls so a busy sales day does not hit them.

It suits you if.

  • You run your books in Xero and key in sales from somewhere else
  • A marketplace app nearly fits but gets fees or tracking wrong
  • You want Xero contacts kept in step with your CRM
  • Stripe or PayPal payouts take ages to reconcile
  • You report by branch or channel using tracking categories

What we do.

Invoices and credit notes

Orders, bookings or jobs become Xero invoices with the right account codes, tax rates and references.

Contacts kept in step

New customers are created in Xero once, matched by email or account number to avoid duplicates.

Payments and payouts

Payments are applied to invoices, and payouts are split into sales, refunds and fees for easy bank reconciliation.

Tracking categories

Branch, channel or department tags applied automatically, so your Xero reports show the split you need.

Secure OAuth connection

Access approved through Xero itself, with tokens stored encrypted and revocable by you at any time.

How it runs.

  1. 01

    Free call

Tell us what you want in Xero and where it comes from now. We check the marketplace first.

  2. 02

    Mapping

We agree account codes, tax rates and tracking with you and your accountant.

  3. 03

    Build in the demo company

We build and test against Xero's demo company, so your real books are untouched.

  4. 04

    Go live

You approve the connection in Xero, we switch it on from an agreed date and check the first postings together.

Questions people ask.

Do you need my Xero password?

No. Xero integrations use OAuth 2.0, which means you log in to Xero yourself and approve the connection. We receive a limited access token, never your password, and you can remove the connection at any time from Connected Apps in your Xero settings.

How much does a Xero integration cost?

If a marketplace app does the job, the cost is mostly its subscription plus a little set-up time. A custom integration is quoted as a fixed price after the free call, depending on how many systems feed Xero and what needs to sync. Your Xero subscription stays yours.

Will it work with Xero's VAT returns?

Yes. The integration posts transactions with the correct UK tax rates, so your VAT return in Xero picks them up like any other entry. We agree the rate for each product or service with you, including zero-rated and exempt items, before anything goes live.

What happens if Xero changes something?

Xero gives developers notice of API changes, and our monitoring flags failures straight away. On a support arrangement agreed up front, we keep the integration updated. Without one, we quote any update work when it is needed, and you always have the code.
