A customer portal that answers the usual phone calls
Give customers a login where they can see where their job is, download their paperwork and pay, without ringing you to ask.
In plain English.
Many of the calls and emails a business gets are the same few questions. Has my order shipped? Can you resend that invoice? Where is the certificate for the job you did? A customer portal puts those answers behind a secure login, so customers help themselves at any hour and your staff get time back.
We build portals that read from the systems you already run. That could be your accounts package, a job management tool, a SharePoint folder or a database we build for you. Customers log in with an emailed link or a password with two-factor authentication, and they only ever see their own records.
You can start small, with invoices and documents, and add online payments, repeat ordering or support tickets later. We plan the data structure on day one so each new section slots in without rebuilding what is already there, and without asking customers to sign up again.
It suits you if.
- Customers ring or email to ask for order or job updates
- You send the same invoices and certificates out more than once
- Trade customers want to reorder without phoning
- You hold documents customers need to keep, such as gas certificates or warranties
- You want customers to pay outstanding invoices online
What we do.
Secure sign-in
Magic-link or password login with optional two-factor codes, rate limiting and proper session handling.
Live job or order status
Status is pulled from your own system, so the portal never shows something different from what your staff see.
Document library
Invoices, quotes, certificates and drawings filed against the right customer and available to download as PDFs.
Pay online
Outstanding invoices can be paid by card through Stripe or by Direct Debit through GoCardless, and marked as paid in your accounts automatically.
Branded to you
Your logo, colours and domain, for example portal.yourcompany.co.uk, so it feels part of your business.
How it runs.
- 01
Free call
We talk through the questions customers ask most and where the answers currently live.
- 02
Map the data
We agree which records each customer should see and how the portal will read them from your systems.
- 03
Prototype and build
You try a clickable version with test accounts before paying a deposit, then we build and test the real thing.
- 04
Invite customers
We help you roll it out, starting with a few friendly customers, then everyone, with an invitation email you can send.
Questions people ask.
What does a customer portal cost?
It depends mainly on how many systems the portal has to read from and whether it takes payments. Our app development starts from £750, and a portal with documents and invoices is usually a modest project. You get a fixed price after the free call, and you see a prototype before any deposit.
Is customer data kept secure?
Yes. Every page checks that the logged-in customer owns the record being shown. Passwords are hashed, traffic is encrypted over HTTPS, and the portal is hosted on UK servers. We also keep an access log so you can see who looked at what if a question ever comes up.
Will my customers actually use it?
They use it when it saves them a phone call. That is why we start with the questions they already ask most. We also make the first login easy, with a link in an email rather than a long sign-up form, and we can add a portal link to every invoice you send.
Can it work with the software I already have?
Usually, yes. Xero, QuickBooks, Sage, most job management tools and Microsoft 365 all have APIs we can read from. If your system has no API, we can often work from a scheduled export. We check this on the free call before you commit to anything.
