QuickBooks fed straight from your sales systems
We link QuickBooks Online to your website, shop, CRM or field app, so transactions arrive with the right products, classes and VAT.
In plain English.
QuickBooks Online is popular with UK sole traders and small firms, and its API lets other software create customers, invoices, sales receipts and payments directly. That means the orders on your website or the jobs in your field service app can land in QuickBooks without anyone retyping them.
We map your products to QuickBooks items, set the correct UK VAT codes, and use classes or locations if you report by department or branch. Card payments taken through Stripe, Square or PayPal are recorded against the right invoices and grouped into deposits, so payouts match what arrives in your bank.
Before building anything we look at the QuickBooks App Store, because sometimes a ready-made connector is the sensible choice. If it is not, we build a direct integration using Intuit's OAuth 2.0 approval, tested first in a QuickBooks sandbox company.
It suits you if.
- You use QuickBooks Online and enter sales by hand
- Your field service or booking app does not talk to QuickBooks
- Card takings from Square, Stripe or PayPal are hard to reconcile
- You track income by class or location and want it applied automatically
- An existing connector creates duplicate customers or items
What we do.
Invoices or sales receipts
We pick the right transaction type for each sale: invoices for credit customers, sales receipts for orders paid up front.
Items and VAT codes
Products and services map to QuickBooks items with the correct UK VAT codes.
Classes and locations
Applied automatically, so profit and loss reports split by department, branch or channel.
Payment matching
Payments are recorded against open invoices and grouped into deposits that match your bank feed.
Duplicate prevention
Customers and items are matched before anything is created, so your QuickBooks lists stay clean.

Questions people ask.
Does this work with QuickBooks Desktop?
Our integrations are built for QuickBooks Online, which has the modern API. QuickBooks Desktop has far more limited connection options. If you are still on it, we can talk through moving to QuickBooks Online first and then connecting your systems to it.
How much does a QuickBooks integration cost?
It depends on the number of systems involved and whether the sync is one-way or two-way. We quote a fixed price after the free call. If a QuickBooks App Store connector does the job, we will recommend it and the cost is mostly its subscription and set-up.
How long does it take?
A one-way sync from a single source, such as a WooCommerce shop, can usually be built, tested in the sandbox and live within a few weeks. Larger projects with several sources or historical data to load take longer, and we give you a timeline with the quote.
Can you bring in past transactions?
Yes, if the source system still holds them. We usually load historical data in one batch, checked against your existing QuickBooks figures so nothing is doubled up. Your accountant should agree the cut-off date, especially if a VAT return has already been filed for that period.
