Your data moved across complete and correct
We extract, clean, map and load your records into the new system, then prove nothing went missing on the way.
In plain English.
Changing system is often held back by one worry: what happens to the data? Years of customers, orders, jobs, products and notes sit in the old software, and the new one expects them in a different shape. Data migration is the careful job of moving it across with nothing lost, doubled or garbled.
We extract from wherever the data lives: a SQL database, an Access file, spreadsheets, a CSV export, or another platform's API. Then we clean it, merging duplicates, fixing postcodes, splitting combined fields and flagging records that make no sense. Every field is mapped to its place in the new system and agreed with you.
We do at least one full trial run before the real thing, and reconcile the counts and totals afterwards so you can see every customer and every pound has arrived. The final move is timed for a quiet period, with the old system kept read-only in case anything needs checking.
It suits you if.
- You are switching CRM, accounts, ecommerce platform or job system
- Your data is spread across spreadsheets, an old database and email
- A previous migration attempt lost records or created duplicates
- You need years of history kept as well as current records
- The new supplier's import tool cannot handle your data as it is
What we do.
Extraction from almost anything
SQL Server, MySQL, Access, Excel, CSV, FileMaker and platform APIs, including systems with no export button.
Cleaning and de-duplication
Duplicates merged, addresses tidied, phone numbers formatted and junk records set aside for review.
Field-by-field mapping
A written map of where every field goes, signed off by you before any load.
Trial runs
At least one full rehearsal into a test copy of the new system, checked by your staff.
Reconciliation report
Record counts and financial totals compared before and after, so the result is proven rather than assumed.
How it runs.
- 01
Free call
Tell us what you are moving from and to, roughly how much data, and when the switch needs to happen.
- 02
Audit and map
We inspect the source data, report on its quality and agree the field mapping and cleaning rules with you.
- 03
Trial run
We run the full migration into a test copy, and your team checks real records they know well.
- 04
Final move
We run the live migration at a quiet time, reconcile the totals and keep the old data archived.
Questions people ask.
How much does data migration cost?
It depends on the number of sources, how messy the data is and how much history you want to keep. After the audit we give you a fixed price for the migration itself. The audit stage is the best way to avoid surprises, because it shows the real state of the data.
How long will our systems be unavailable?
For most small business migrations the final move fits into an evening or a weekend. We rehearse it first, so we know how long it takes. Where downtime is not acceptable, we can migrate in stages, or run a final catch-up of records changed during the switch.
What do you need from us?
Access to the old system or a full export, access to the new system's test environment, and someone who knows the data well to answer questions and check the trial run. Decisions such as which old records to archive rather than migrate are yours, and we guide you through them.
Is our data safe during the migration?
We work over encrypted connections and on UK-hosted servers, limit access to the people doing the work, and delete our working copies once you sign off. We can sign a data processing agreement before we start, which is sensible whenever customer personal data is involved.
