Let your software handle the repetitive admin

We map the steps your team repeats every day and set your systems to pass the data between themselves, with alerts when something needs a person.

Workflow Automation: where you are, the work, and where it gets you.

In plain English.

A lot of office time goes on moving the same information between places. A web enquiry gets typed into the CRM, then into a quote, then into Xero, then into a diary. Each copy is a chance for a typo and a delay. Workflow automation joins those steps so the data is entered once and flows on by itself.

We use whichever tool suits the job and your budget. Zapier and Make are quick to set up and easy for you to edit later. n8n can run on a private server for a flat cost when volumes get high. Microsoft Power Automate fits firms already on Microsoft 365. For anything those tools cannot reach, we write a small custom script or webhook.

AI steps slot into the middle of a workflow where a rule alone falls short: reading a free-text email to decide whether it is a complaint or a new order, pulling a postcode out of a message, or drafting a reply for someone to approve. Every automation logs its runs and tells a named person when a step fails.

It suits you if.

  • Staff retype details from emails or web forms into other systems
  • Leads sometimes go cold because nobody saw the notification
  • You chase invoices, renewals or reviews by hand each week
  • Your apps each work fine but do not talk to each other
  • You want to be able to see and change the automations yourself

What we do.

Process mapping first

We sit with the people doing the work and draw each step, including the odd exceptions. Automating a muddled process only makes the muddle faster.

Tool chosen on cost and control

We compare Zapier, Make, n8n and Power Automate on your expected task volume, so you know the monthly platform fee before anything is built.

AI for the messy inputs

Free-text emails, voicemail transcripts and scanned forms can be classified or summarised by a language model, then handed to the normal rules.

Failure alerts and retries

If an app is down or a field is missing, the workflow retries, then emails or messages a named person in Teams or Slack with the details.

Run history you can search

Each run is logged, so when a customer asks what happened to their enquiry you can trace it step by step.

How it runs.

  1. 01

    Start with a call

A free 15-minute call with Garreth to list the jobs your team repeats. We pick the one that costs the most hours.

  2. 02

    Map and price

We walk through the process with whoever does it now, then send a fixed quote plus the expected platform fee.

  3. 03

    Build in stages

Each step is built and tested with sample data, then run alongside the manual process for a short period so nothing is lost.

  4. 04

    Switch over

Once the results match, the manual step stops. We check the run logs over the first few weeks and tidy any edge cases.

Questions people ask.

How much does workflow automation cost?

The build is a fixed quote agreed before work starts. On top of that is the automation platform fee, which you pay directly to Zapier, Make or Microsoft, or a small server cost if we self-host n8n. We tell you the expected monthly figure for your volume up front.

How long does it take?

A single workflow joining two or three apps is often live within a week or two, including the period running alongside your manual process. Longer chains with AI steps or custom code take longer, and we give you a date with the quote.

Can I change the automations myself later?

Yes. They live in your own account, and we write a short note for each one. Changing an email template or adding a recipient is easy to do yourself. For bigger changes you can ask us, or any other developer who knows the platform.

What happens if an app we use changes?

Software updates sometimes rename fields or retire connectors. The failure alerts tell you straight away, and the run history shows exactly which step broke. Fixes are usually quick, and they can be covered under an ongoing support plan if you prefer.
