Microsoft 365 email set up properly from day one

We add your domain to Microsoft 365, route mail to Exchange Online, sign it with DKIM, and set up mailboxes and sign-in security for your team.

Microsoft 365 Email Setup: where you are, the work, and where it gets you.

In plain English.

Microsoft 365 puts your email in Exchange Online and gives your team Outlook, Teams, OneDrive and the Office apps. The admin centre walks you through adding a domain, but it leaves out a lot: DKIM is off by default for custom domains, DMARC is not created for you, and older tenants may not enforce multi-factor sign-in.

We add a TXT record with your MS= verification value, point MX at the Exchange Online host Microsoft gives for your domain, and add the autodiscover CNAME so Outlook configures itself. SPF gets include:spf.protection.outlook.com. DKIM uses two CNAME records, selector1._domainkey and selector2._domainkey, pointing back to your tenant, then signing is enabled in the Defender portal.

Shared addresses such as info@ become shared mailboxes, which need no licence of their own up to 50 GB. Distribution lists, mailbox permissions and send-as rights are set so people use their own logins. Microsoft licences are billed to you by Microsoft or passed on at cost.

It suits you if.

  • Your team lives in Outlook, Word and Excel already
  • You have bought Microsoft 365 licences but email is still elsewhere
  • Outlook keeps asking for passwords or fails to set up
  • You need shared mailboxes for info@ or accounts@
  • You want Teams and email on the same accounts

What we do.

Domain and mail flow

Domain verified with the MS= TXT value, MX set to your Exchange Online endpoint, and inbound and outbound tests run from outside the tenant.

Autodiscover for Outlook

The autodiscover CNAME points at autodiscover.outlook.com so Outlook on Windows, Mac and phones finds the mailbox from the address alone.

DKIM with two selectors

selector1 and selector2 CNAMEs published and DKIM enabled, so Microsoft can rotate keys without you touching DNS again.

Shared mailboxes and lists

Shared mailboxes for team addresses, distribution lists for groups, and send-as or send-on-behalf rights for the right people.

Multi-factor sign-in

Security defaults or Conditional Access, depending on your licence, so every account needs a second factor and legacy authentication is blocked.

How it runs.

  1. 01

    Free call

We check your licences, user list, shared addresses and current mail host, and whether Teams or OneDrive are part of the move.

  2. 02

    Prepare the tenant

The domain is verified, users, shared mailboxes and lists created, and security settings applied while mail still flows the old way.

  3. 03

    Migrate and cut over

Existing mail is copied into Exchange Online, MX switched, DKIM enabled and a final sync run to catch late messages.

  4. 04

    Connect devices

Outlook profiles and phones are connected, MFA registered for each person, and you get a short admin guide.

Questions people ask.

Which Microsoft 365 plan do I need for email?

For email, Teams and web versions of Office, Business Basic is usually enough. If your team needs the desktop Office apps, Business Standard adds them. Business Premium adds device management and Conditional Access. We recommend a plan after the free call; licence fees go to Microsoft or are passed on at cost.

Why does Outlook keep asking for my password?

Often it is a missing or wrong autodiscover record, an old profile pointing at the previous mail host, or a sign-in policy blocking an older Outlook version. We check DNS first, then rebuild the profile with modern authentication.

Do shared mailboxes need a licence?

Not usually. A shared mailbox under 50 GB without archiving needs no licence of its own. People open it with their own login, so nobody shares a password. If it grows past that or needs an archive, Microsoft requires a licence for it.

Can you support us after set-up?

Yes. Ongoing help with users, Outlook, Teams and security is covered by our Microsoft 365 support service, on a monthly fee agreed up front. Set-up alone is a fixed price agreed after a free call.
